Frequently Asked Questions
Here are answers to the questions we get most often. If you don't find what you're looking for, feel free to contact us.
Getting started
What is MailPorter?▼
MailPorter is a service that imports emails from other mail servers into your Gmail inbox. You connect your POP3 or IMAP account, and MailPorter automatically syncs your emails to Gmail. It's essentially a replacement for the "Check mail from other accounts" feature that Gmail used to offer but discontinued.
Why would I use this instead of email forwarding?▼
Email forwarding works, but it has some drawbacks. Forwarded emails pass through relay servers, which can trigger spam filters and modify email headers. MailPorter imports emails directly through the Gmail API, so they arrive exactly as they were on the original server, and Gmail trusts them more.
How long does it take to set up?▼
Most people are up and running in about two minutes. You sign in with Google, enter your mail server details (MailPorter can auto-detect settings for common providers), and you're done. The initial import of your existing emails might take longer if you have a large mailbox, but that happens automatically in the background.
What email providers does MailPorter work with?▼
Any email provider that supports POP3 or IMAP, which is almost all of them. That includes Yahoo, Outlook, AOL, iCloud, Zoho, and pretty much any other email service. It also works with corporate Exchange servers, self-hosted mail servers, and web hosting providers like cPanel.
Security and privacy
Can MailPorter read my existing Gmail emails?▼
No. When you connect your Google account, we only request permission to insert emails and manage labels. We can't read, search, or delete your existing emails. You can verify this yourself by checking your Google Account permissions at any time.
How is my mail server password stored?▼
Your password is encrypted using AES-256 encryption before we store it. For Gmail access, we use OAuth, which means we never see your Google password at all - Google handles that authentication directly.
Do you store copies of my emails?▼
No. When MailPorter imports an email, it reads the message from your mail server and immediately sends it to Gmail through the API. We don't keep copies of your emails on our servers.
How do I revoke MailPorter's access to my accounts?▼
You can disconnect at any time. For Gmail, go to your Google Account settings, find "Third-party apps with account access," locate MailPorter, and remove its access. Your sync jobs will stop immediately.
How it works
What's the difference between POP3 and IMAP?▼
POP3 typically downloads emails and removes them from the server (though this can be configured), while IMAP keeps emails on the server and syncs them. For most people, either works fine for importing to Gmail. If your provider supports both, IMAP is usually the more modern choice.
How often does MailPorter check for new emails?▼
Free plans sync every 30 minutes. Any paid plan syncs every 5 minutes. MailPorter checks your mail server on schedule, imports new emails, and tracks what's already been imported to avoid duplicates.
Will I get duplicate emails?▼
MailPorter tracks which emails have already been imported using the Message-ID header, so you shouldn't get duplicates. Even if you restart a sync job or there's a hiccup, it knows what's already been imported.
Can I organize imported emails with Gmail labels?▼
Yes. When you set up a sync job, you can choose which Gmail labels to apply to imported emails. This makes it easy to filter messages from different sources or keep imported emails separate from your regular mail.
What happens to emails on my original server after they're imported?▼
By default, emails stay on your original server. But you can configure MailPorter to mark them as read or delete them after a successful import if you prefer.
Pricing
Is MailPorter really free?▼
Yes, for importing from one mail server. The free plan includes one sync job with unlimited email imports, runs every 30 minutes, and has no time limit or trial period. We don't require a credit card to sign up.
What if I need to import from multiple accounts?▼
You can purchase upgrade packs for €20 per year. Each pack adds 10 sync jobs to your account, and any paid plan upgrades sync to every 5 minutes. Packs stack, so you can buy as many as you need.
Are there any per-email fees?▼
No. You can import as many emails as you want. There are no per-email charges on any plan.
Troubleshooting
The import seems slow. Is something wrong?▼
Import speed depends on your mail server's response time and how many emails you have. Large mailboxes can take a while to import initially, but this happens automatically in the background. You can check the progress from your dashboard.
I'm getting connection errors. What should I check?▼
First, verify that your server address and port are correct. Make sure you're using the right encryption setting (SSL/TLS is most common these days). If your email provider requires an "app password" instead of your regular password (common with Yahoo, Microsoft, and Google), you'll need to generate one in your provider's security settings.
Some emails aren't being imported. Why?▼
Check the sync logs from your dashboard for specific error messages. Common issues include malformed emails that Gmail's API rejects, emails that exceed size limits, or duplicates that were already imported previously.
